  • 1.Basic policy
    PILLAR Corporation (hereinafter the “Company”) has established the following Personal Information and Specific Personal Information Protection Policy from the standpoint of protecting personal information and specific personal information, in accordance with the Act on the Protection of Personal Information (Act No. 57 of 2003; hereinafter the “Personal Information Protection Act”) and the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures (hereinafter the “My Number Act”). Deeply aware that personal information and specific personal information constitute important information, and regarding their protection as a significant social responsibility, the Company implements the measures set out below.
  • 2.Acquisition and Purposes of Use of Personal Information
    (1) Personal Information in General
    The Company acquires personal information and specific personal information by lawful and fair means and only within the scope necessary for its business. The Company uses such information solely within the scope of the purposes of use set out below, and will not use it beyond that scope without the consent of the individual concerned.

  • (2) Audio and Video Recording of Calls and Meetings
    In the course of telephone calls, business meetings, and similar interactions with business partners (hereinafter “calls and meetings”), the Company may use call recording services (including the call recording service provided by KDDI Corporation) and may make audio and video recordings (hereinafter “recordings”) for the purposes of use set out below. Recordings are made only within the scope necessary for the conduct of the Company’s business. When making recordings, the Company gives notice to that effect by appropriate means such as its website or e-mail, and obtains consent where necessary.

    Except where provision is based on laws and regulations or where there is other legitimate cause, the Company does not provide personal data to third parties without the consent of the individual concerned.
    When the Company does provide personal data to a third party, it requires the recipient to implement appropriate controls, including security management, confidentiality, and a prohibition on onward provision.
    Furthermore, even where information does not constitute personal data in the Company’s hands, the Company obtains the consent of the individual concerned where the information is expected to constitute personal data for the recipient.
  • 4.Entrustment of Personal Data
    (1) Provision in Connection with Entrustment
    Where the Company outsources part of its operations, it may provide personal data to the contractor within the scope necessary to achieve the purposes of use.
    In such cases, the Company obliges the contractor (including the AI service providers referred to in the following subsection) to exercise appropriate control by contract or other means, and exercises the necessary and appropriate supervision.
  • (2) Use of AI Technology
    In order to achieve the purposes of use set out in Section 2 above, the Company may use AI technology when carrying out activities such as recording, speech recognition, summarization, and analysis of the various types of information it acquires in the course of its business.
    The Company selects appropriate AI service providers in light of considerations such as confidentiality and retention periods. It also configures the services so that the information it handles is not used for training by the AI service provider, and confirms before use that the terms of service prohibit the AI service provider from processing or using that information for any purpose other than the entrusted purpose.
    The Company also exercises appropriate control over information handled in connection with its use of AI technology in order to prevent unauthorized access, leakage, and similar incidents.
  • 5.Joint Use of Personal Data
    The Company may make joint use, as set out below, of the personal data of business partners that it has acquired.

    The Company appoints a person responsible for the protection of personal information and specific personal information in each department or organizational unit that handles such information, and works to manage this information appropriately through measures such as developing its organizational structure and conducting regular training on the management of personal information and specific personal information.
    By implementing security measures at an appropriate and reasonable level, the Company endeavors to prevent risks such as unauthorized access to personal data and the loss, alteration, or leakage of personal data. With regard to retention periods and disposal methods for personal data, the Company endeavors to retain such data for the period it has established and to dispose of it appropriately once it is no longer needed.
    In the event that personal data is leaked externally and the case falls within the scope of applicable laws and regulations, the Company reports the incident to the Personal Information Protection Commission and notifies the individuals concerned.
  • 7. Disclosure of Retained Personal Data
    Requests for the disclosure, correction, suspension of use, or deletion of retained personal data, and complaints regarding the handling of personal information and specific personal information, are accepted on the Company’s website.
  • 8. Maintaining and Improving the Protection of Personal Information and Specific Personal Information
    The Company provides training to its employees to ensure that the personal information and specific personal information of business partners is handled appropriately. The Company also inspects whether such information is being handled appropriately and, as necessary, reviews and improves its efforts to protect personal information and specific personal information.

    The Company uses Cookies and similar technologies in compliance with the relevant laws, regulations, and guidelines.

    1.Information Obtained
    The Company uses Cookies and similar technologies in order to provide better information and services to its customers. Where a visitor’s browser is set to permit the sending of Cookies, the Company obtains that visitor’s Cookies and associates them with the customer’s information. This enables the Company to obtain information such as the websites the visitor has viewed, search keywords, browsing times, the type of browser used, the IP address, and company information identifiable from the IP address (hereinafter “browsing history”). This information does not include personally identifying information such as name, telephone number, e-mail address, or date of birth.
